Booking & Cancellation Policy

This policy applies to consultations, Ayurvedic massage therapies, wellbeing rituals, packages, gift vouchers and other services provided by The Ayur Chikitsa Ltd, trading as The Ayur Chikitsa.

1. Reservations and Appointment Confirmation

All Ayurvedic consultations, massage therapies and wellbeing treatments are available by advance appointment only.

An appointment is confirmed when:

  • The Ayur Chikitsa accepts the requested date and time;
  • Any required booking payment has been received; and
  • The client receives confirmation by email, text message or through the booking system.

Clients are responsible for checking that the treatment, date, time and contact details shown in the booking confirmation are correct.

2. Cancellation and rescheduling charges

We understand that circumstances can change. Please provide as much notice as possible when cancelling or rescheduling an appointment. The following charges apply:

More than 48 hours' notice

No fee.

Within 48 hours of the appointment

A fee of 25% of the appointment price may apply after administrator review. No fee is created or charged automatically merely because an appointment status changes.

Non-attendance (no-show)

A fee of up to 100% of the appointment price may apply after administrator review. No fee is created or charged automatically merely because an appointment status changes.

A no-show occurs when the client does not attend the appointment and has not cancelled or contacted The Ayur Chikitsa before the scheduled appointment start time.

If you do not attend and have not cancelled before the scheduled appointment start time, a fee of up to 100% of the treatment price may apply after administrator review. This reflects the treatment time reserved exclusively for you, preparation undertaken and the limited opportunity to offer the appointment to another client. No fee is created or charged automatically merely because an appointment status changes: any fee is reviewed by an administrator first, and may be reduced or waived where the appointment has been filled or where genuine exceptional circumstances apply.

Where a consultation has been paid for in advance

Where you have already paid for a consultation and you cancel or reschedule with more than 48 hours' notice, your appointment can be transferred to another available time or your payment refunded in full. Where a 25% late-cancellation fee applies following administrator review, any amount you have paid above that fee is refunded.

No advance payment is taken for a ritual treatment appointment. Where a charge applies to a ritual treatment, it is taken from the card guarantee given when the appointment was confirmed.

These charges reflect the appointment time reserved exclusively for you, the preparation and materials involved, and the limited likelihood of the appointment being rebooked at short notice.

Exceptional circumstances

We will waive or reduce a cancellation charge where you are unable to attend because of:

  • sudden illness or injury affecting you or someone in your care;
  • bereavement;
  • a medical emergency;
  • severe weather or travel disruption making attendance unsafe or impossible; or
  • another comparable emergency outside your control.

Please tell us as soon as you are able. We may ask for brief supporting information. Waiving a charge on one occasion does not create an entitlement on any future occasion.

Nothing in this policy affects your statutory consumer rights.

Bookings made online or by telephone

Where you book online, by telephone or by another distance method, you normally have 14 calendar days from the day the contract is formed in which to cancel. The contract is formed at different points depending on how you book:

  • Consultations — the contract is formed when your payment for the consultation is successfully completed.
  • Ritual treatments — the contract is formed only when you accept the approved appointment and these terms and your card guarantee is successfully set up. Sending a request, our approval of a requested time, and the temporary hold placed on that time do not form a contract.
  • Free Discovery Calls — the contract is formed when the call booking is confirmed.

The 14-calendar-day period is counted in United Kingdom local time from that point. Where your appointment falls fewer than 14 calendar days after it, you are asked — immediately before you complete that step — to confirm that you expressly request the service to begin before the end of the cancellation period. Where legally permitted, you may then be required to pay a proportionate amount for any service supplied before you cancel, and the cancellation right may end once the service has been fully performed.

3. Late arrivals

Please arrive approximately 10 minutes before your appointment to allow time to settle, use the facilities and complete any outstanding documentation.

If you expect to be late, please contact us as soon as possible.

Late arrival may result in:

  • A shortened consultation or treatment;
  • Certain parts of the planned treatment being omitted; or
  • Rescheduling where there is insufficient time to provide the service safely.

The full appointment fee remains payable because the complete appointment period was reserved for the client.

We will not extend an appointment where doing so would delay the next client.

4. Cancellation by The Ayur Chikitsa

Occasionally, an appointment may need to be cancelled because of illness, an emergency, unsafe conditions or circumstances outside our reasonable control.

Where we cancel an appointment, you will be offered a suitable alternative appointment or a full refund of payments made for the affected service.

We are not responsible for indirect expenses such as travel costs, accommodation or loss of earnings.

5. Prices and payment

The price displayed at the time an appointment is confirmed is the price the client will pay for that appointment.

Prices may change for future bookings, packages or services. Any change will not normally affect an appointment that has already been confirmed and paid for.

All mandatory charges and applicable taxes will be included in the total price shown to the client.

Accepted payment methods will be displayed during booking or confirmed directly and may include:

  • Debit or credit card;
  • Bank transfer;
  • Approved online payment methods; or
  • Cash, where agreed.

Payment is due at time of booking the appointment.
